Job Title: Executive Assistant to Director (female)

Salary upto75k

Location: Nariman Point, Mumbai

Reports To: Director

Job Summary:

We are looking for a highly skilled and proactive Executive Assistant to provide comprehensive

administrative support to the Director. The ideal candidate will have excellent organizational

skills, a keen eye for detail, and the ability to manage multiple tasks with efficiency. This role

requires a strong ability to manage the Director’s calendar, arrange meetings, handle

correspondence, and ensure the smooth operation of the office's administrative functions. In

addition, the Executive Assistant will play a key role in managing production reports from the

manufacturing plant, conducting secondary research, and assisting the Director with strategic

decision-making.

Key Responsibilities:

1. Calendar and Scheduling Management:

- Manage and coordinate the Director's calendar, including scheduling meetings,

appointments, and travel arrangements.

- Prioritize and organize appointments based on urgency and importance, ensuring that the

Director’s time is optimized.

- Send reminders for meetings and prepare any necessary materials in advance.

2. Administrative Functions:

- Head the administrative operations of the office, ensuring all functions run smoothly and

efficiently.

- Handle the Director’s correspondence, including emails, letters, and phone calls,

responding on behalf of the Director when appropriate.

- Maintain a filing system, organize documents, and prepare materials for meetings and

presentations.

- Coordinate office supplies and ensure the workspace is well-maintained and organized.

3. Production Reporting and Analysis:

- Coordinate with the manufacturing plant to collect and compile production reports on a

regular basis.

- Analyze the data and create a concise summary of key insights for the Director’s review

and presentation.

- Prepare presentation-ready documents, reports, and other materials as needed.

4. Guest Management and Hospitality:

- Welcome and assist guests of the Director, ensuring a professional and hospitable

environment.

- Coordinate logistics for meetings, events, and visits with external stakeholders, ensuring

all arrangements are made smoothly and professionally.

5. Secondary Research and Strategic Support:

- Assist the Director in conducting secondary research on new areas of business expansion,

market trends, and potential opportunities.

- Gather relevant data, summarize findings, and present them to the Director for review and

strategic planning.

- Support the Director in preparing reports and proposals for new initiatives or business

ventures.

6. Meeting and Event Coordination:

- Arrange and coordinate internal and external meetings, including booking venues,

preparing agendas, and ensuring follow-up actions are taken.

- Take detailed minutes during meetings and share key takeaways with the Director and

relevant team members.

7. Confidentiality and Discretion:

- Handle sensitive information with the utmost discretion, maintaining confidentiality at all

times.

- Act as a trusted liaison between the Director and internal/external stakeholders.

8. Other Duties:

- Perform other administrative tasks and special projects as required by the Director.

- Act as a point of contact for the Director on day-to-day matters, ensuring a smooth flow of

communication.

Skills and Qualifications:

- Experience: A minimum of 3–5 years’ experience as an executive assistant, administrative

assistant, or similar role, ideally supporting senior leadership or senior-level executives.

- Education: A Bachelor’s degree in Business Administration, Management, or a related field

is preferred.

- Communication: Exceptional written and verbal communication skills with a professional

demeanor.

- Organizational Skills: Highly organized with the ability to manage multiple tasks and

prioritize effectively in a fast-paced environment.

- Technical Proficiency: Strong knowledge of office software, including MS Office Suite

(Word, Excel, PowerPoint), and proficiency in using calendar and scheduling tools.

- Analytical Skills: Strong ability to synthesize data and present it in a clear and actionable

format.

- Attention to Detail: High level of accuracy and attention to detail in all tasks.

- Problem-Solving: Ability to anticipate needs, address challenges proactively, and manage

changes effectively.

- Discretion: Ability to handle sensitive information with confidentiality and

professionalism.

Work Environment:

- Full-time position (Monday to Saturday with 2nd & 4th Saturday Off).

- Office environment with occasional travel to manufacturing plants or other locations as

needed.

- The role requires flexibility in managing urgent requests and last-minute changes to the

Director’s schedule.
